Financial Services Representative

The Financial Services Representative is responsible for assisting with the daily operations of the client trust accounts, which includes recording of receipts (e.g.
recurring deposits) and disbursements of client funds. They will maintain policies and procedures related to petty cash disbursements, client assistance requests, client loan requests and disbursement of client trust fund requests (by cash, check, or debit card transactions) for a broad range of clients. The Financial Services Representative will follow consistent policies related to client trust transactions, monitor account balances, analyze individual client accounts, and provide periodic reporting on account activity to social security administration (SSA) offices or upon request.
The Financial Services Representative will become knowledgeable and proficient in administering client funds within the accumulated funds limit. They will ascertain appropriate distribution of accumulated funds at death of a client (i.e.
to the state, to SSA, or to the estate of the client).
ESSENTIAL RESPONSIBILITIES
· Monitor the financial services process for their assigned teams and clients related to client deposits, reconciliation of client trust accounts, and disbursement of client funds; i.e.
review client trust fund deposits and enforce current signature rules in accordance with policy guidelines.
· Monitor client trust account balances to ensure trust accounts remain within current social security limits.
Work directly with employees to help manage overage (e.g.
over limit) and low dollar value (e.g.
excess spending) to support clients in maximizing funds
· Follow policies regarding disbursement of petty cash, including the disbursement of client assistance funds for assigned clients, teams, and locations.
· Participate in audits/regulatory compliance reviews to ensure compliance with all local and federal regulations regarding the recurring deposits and use of funds in client trust accounts.
· Enforce financial services policies, procedures, and workflows with employees; e.g.
understand and guide execution of client loan requests, and ensure proper approvals for all disbursement of client funds.
· Work with Supervisor to ensure adequate staffing of financial services function during holidays, vacations, or other planned/unplanned time-off.
· Work collaboratively with employees for recurring client payments such as rent, utilities and/or recurring bills, which may require follow-up to ensure timely payment.
· Work with employees to resolve or implement appropriate spending strategies relative to accumulated funds to comply with SSA guidelines as needed
