Job Purpose: Under general supervision, delivers a full range of administrative services to district personnel.
Performs all tasks related to contracting, invoicing and collections.
Within established guidelines, make independent decisions about planning, organization and scheduling of own work.
Ability to resolve routine questions and problems and refers more complex issues to management.
Must have good knowledge of EFCO and basic understanding of the organizational structure.
May assist in orienting and training other employees.
Key Responsibilities:
* Provide administrative and data entry support for contracted orders and routing of executed contracts.
* Ensure accurate and timely updates in Salesforce and PP.Net; verify all necessary approvals and documents are completed.
* Notify customers regarding invoices, down payments, security deposits, and lien bond details within required timeframes.
* Maintain and update sales plans, shipping dates, and assist in weekly team meetings.
* Manage customer accounts receivable, fostering relationships to ensure timely collections.
* Fulfill customer requests for documents such as waivers, W-9s, and Certificates of Insurance.
* Maintain 660 collection notes and provide updated comments for CICC weekly reports and potential bond/lien claims.
* Assist with invoice adjustments, credit memos, refunds, and order closeouts.
* General office support: greet visitors, answer phones, manage schedules, organize meetings/events, and coordinate travel.
* Timekeeping via Kronos-UKG/Dayforce; order and manage office, EFCO gear, and 3D printing supplies.
* Maintain district files and provide administrative support to all district team members.
* Update and maintain customer contact data in Salesforce, including the FORM MARKS mailing list.
* Train and support staff on sales tools (e.g., Salesforce, Project Plan, EFCO Online, Invoice Retrieval, SharePoint).
* Perform other related duties and special projects as assigned.
Qualifications:
* High school diploma or equivalent required.
* 2-5 years of experience in collections, or administrative support roles.
* Proficient in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint) and Microsoft Teams.
* Typing speed of at least 55 WPM.
