We are looking for a team-oriented, highly organized, planner, and proactive problem solver to provide a full range of administrative support to members of the Quality, Regulatory and Product Safety leadership team (QRC) and their departments.

Executive Assistants at Kimberly-Clark provide a broad range of skilled and confidential administrative support to ensure smooth operation of the business.

The incumbent must maintain strong interpersonal relationships with employees at all levels of the organization and a high level of confidentiality is a key asset for the position.

In this role, you will:


* Makes preparations for department, staff and other meetings including creating agendas, preparing any meeting materials/scorecards and or presentations, scheduling the conference space required, connecting meetings to the required technology, facilitating refreshments and may include managing the budget for these meetings and /or conferences; Prioritize meeting invites; ensure leader has desk time in accordance with their ideal time.


* Provide audit Support (2x per year) - Logistics, meals, invites, communications, etc.; Capture meeting minutes and action items during functional leadership staff and department meetings.


* Handle email management (Flagging and identifying high priority items and training with upcoming due dates, Manage any double-booking requests, Identify eTQ notifications and requests).


* Manages reconciliation of corporate credit cards for self and Executive(s), working with managers/supervisors and senior management to ensure the accuracy/timeliness of expense report submission.


* Manages Purchase Orders and Requisitions with external suppliers and vendors (ex: Guidant Global); Assists with statements of Work (SOWs) and Contractor onboarding for leaders.


* Manage Onboarding & Offboarding within the teams including: requesting network access, IT equipment, Corporate credit cards, workstations, etc.


* Support travel scheduling, itinerary creation and any VISAs needed for international travel.


* Maintains appropriate department email distribution lists; Maintain and update any relevant QRC or department SharePoint sites.


* Receives sorts, distributes, opens and screens incoming email, mail and faxes.

Categorizes and prioritizes response needed; Uses initiative to prepare responses for signature and to assemble background information from many sources.
