Executive Assistant II

ABOUT THE POSITION

The Department of Facilities Management is seeking an Executive Assistant II for their Project Management Office .

The Executive Assistant will support the Deputy Director and provide comprehensive administrative and secretarial support, requiring independent judgment and action.

Key responsibilities include scheduling appointments and meetings, tracking upcoming presentations and deadlines, and ensuring reports are completed and submitted timely.

The Executive Assistant will be responsible for reviewing, assembling, and/or preparing reports; tracking, monitoring, and presenting information; and public records responses.

Consequently, excellent attention to detail and organizational, writing, and presentation skills are essential to the position.

Strong Microsoft Word, Excel, and PowerPoint knowledge is required.

Competitive candidates will also have knowledge and/or experience with public works, contract management, construction, real estate, and/or public records requests.

EXAMPLES OF ESSENTIAL DUTIES

• Schedule appointments, coordinate time, place, and participant arrangements for meetings.

• Compile and summarize information, data, and figures for reports.

• Take and prepare minutes of meetings.

• Type correspondence, memoranda, reports, documents, orders, payrolls, briefs and statistical data such as charts, tables, and graphs.

• Maintain control files to monitor status and expedites the completion of staff assignments.

• Set up and maintain office files, record and index using computer applications that include use of electronic mail, word processing, spreadsheet and special databases.

• Provide general information to office and telephone callers and/or refer them to appropriate party.

MINIMUM QUALIFICATIONS

OPTION I

Education: Graduation from an accredited college or university with an associate's degree or higher.

Experience: One year in a secretarial capacity performing a wide range of complex clerical and secretarial support duties with Riverside County.

OPTION II

Education: Graduation from an accredited college or university with an associate's degree or higher.

Experience: Three years of broad and varied clerical experience, one year of which must have been in a secretarial capacity performing a wide range of complex clerical and secretarial support duties.
