Corporate Events Coordinator

POSITION SUMMARY
This role supports the manager in all events, including corporate, Falken, Dunlop, Motorsports, and marketing team events.

The successful candidate will assist with trip planning and coordination, and work closely with the SRNA travel agency to coordinate travel logistics for Marketing Team events.

The candidate should have a good understanding of event production and logistics, outstanding organizational and communication skills, and the ability to collaborate with other departments to deliver memorable event experiences.

•    POS/Signage/Gift Research
•    Expense Detail reporting

PRINCIPAL TASKS
•    TRAVEL:  Coordination/communication with team members and Travel Agency for booking of flights, hotels and rental vehicles for SRNA events or Corporate Event travel.

 Distribution of accumulated information to travelers (hotel & flight grids, event information) for each event through electronic notice and hard copies.    
•    Collaborate with the chosen venue to create event diagrams and meticulously organize event details, including production support, staging, seating, utilities, and other logistical requirements.
•    Work closely with both internal and external teams to coordinate and successfully execute food and beverage (F&B) needs for each event.
•    CORPORATE EVENTS/TRIPS: Assist Manager, Corporate Events and Merchandising with planning and coordination of Falken and Dunlop trips and events, to include some site inspections/travel.

 Occasional assistance with sales department dealer events through research, hotel bookings, etc.

 Some travel throughout the year for various events is required.
•    TRIP PACKET PREPARATION: For event management, timely communication with attendees and comprehensive trip packets are crucial.

These packets should include all relevant information such as hotel confirmations, flight schedules, venue details, itinerary, maps, directions, weather, attire, and general information.

Some events may require hard copies and unique presentation elements for a seamless experience.
•    RESEARCH: (Internet based) Research and recommend information for POS items, signage programs, trip teasers, themed items and gifts for events..
•    EVENT CALENDAR:  Use of Microsoft Outlook to calendar all known events for Corporate, Falken, Dunlop, Motorsports or similar events throughout the year.

 Publication to entire company for potential involvement or general knowledge.

 Publication of events to internal customers via REACH monitors located in the main lobby and other locations throughout the building.
