Patient Access Manager
Operational Oversight Supervise and coordinate daily front office operations, including patient registration, scheduling, and check-in/check-out processes.
Ensure smooth patient flow and timely service delivery.
Monitor and improve workflows to enhance efficiency and patient experience.
Design, implement, and maintain provider scheduling templates to optimize access and efficiency.
Lead the adoption of same-day and open-access scheduling strategies to improve patient availability.
Staff Supervision Directly supervise the full access department.
Provide training, coaching, and performance evaluations.
Develop staff schedules and ensure adequate coverage during all operating hours .
Financial Responsibilities & Enrollment Oversee financial screening processes to determine patient eligibility for sliding fee scales and assistance programs.
Collaborate with finance to resolve discrepancies, improve collection rates, and ensure front-end accuracy to reduce denials.
Ensure accurate and compliant Medicaid outreach and enrollment activities.
Monitor documentation and compliance with federal, state, and FQHC requirements.
Ensure daily cash reconciliation, deposits, and financial accuracy at all sites.
Conduct audits on registration accuracy, documentation, and cash handling.
Patient Access & Customer Service Ensure high standards of patient interaction, professionalism, and confidentiality.
Ensure same-day behavioral health scheduling and support warm handoff workflows to promote timely, coordinated patient care.
Address and resolve patient concerns, complaints, and service issues.
Oversee incoming calls and ensure timely, courteous, and accurate responses.
Monitor and improve patient satisfaction and service quality.
Foster a culture of accountability, teamwork, and excellent customer service.
Administrative Duties Maintain accurate records and reports related to front office operations.
Monitor key performance indicators and prepare reports for leadership.
Ensure compliance with policies, procedures, and regulatory standards (including HIPAA).
Collaborate with clinical and administrative leadership to support organizational goals.
Conduct audits on registration accuracy, documentation, and cash handling.
Identify operational gaps and implement process improvements across sites.
Participate in various administration meetings as needed.
Travel to all sites as needed.
Other duties as assigned.
