The Executive Assistant will provide general administrative support to the SVP, Tax, Tax senior management and other staff, as requested.
Responsibilities include, but are not limited to:
* Assist in the preparation of proofreading and editing of documents, presentations, and other departmental correspondence.
* Monitor executive's calendar and commitments.
* Maintain phone messages, facilitate conference calls, disseminate general information, and provide assistance to callers with questions.
* Coordinate meetings and ensure conference rooms are prepared in advance of meetings.
* Manage the offsite storage of departmental files.
* Prepare expense reports as requested.
* Submit invoices for payment.
* Generate, maintain and distribute routine reports as directed.
* Coordinate travel arrangements as needed.
* Serve as primary administrative support for HR department.
* Assist with and manage an inbox requesting Forms W-9 as needed.
* Prepare annual returns and other similar filings.
* Coordinate team events.
* Special projects as assigned.
The successful candidate will meet the following qualifications, skills and attributes:
* High school degree or equivalent.
* 5 years experience in an administrative support role, preferably at an executive level.
* Proficient with Microsoft Office software skills (Word, Excel, PowerPoint, Outlook).
* Professional attitude and demeanor.
* Exercise absolute confidentiality and discretion.
* Excellent written and verbal communication.
* Rigorous attention to detail.
* Willing to take initiative; self-starter.
* Willing to ask questions and make suggestions for improvement.
* Collaborative, team-oriented.
* Ability to work independently with minimal supervision.
* Ability to work effectively with employees at all levels of the organization.
* Able to handle diverse workload using strong organization skills to meet deadlines.
* Flexible and available to assist anyone in the department.
* Must be able to work in the office.
