Nursing Scheduler/Administrative Assistant

Nursing Scheduler / Administrative Assistant/Hot Springs South Dakota Position Summary The Nursing Scheduler / Administrative Assistant is responsible for coordinating and maintaining nursing staff schedules while providing administrative and clerical support to nursing leadership.

This position helps ensure appropriate staffing coverage, maintains accurate records, tracks employee certifications and compliance, and serves as a key point of contact for nursing staff.

This is a non-clinical administrative position with no medical, clinical, or direct patient-care responsibilities.

Essential Duties Develop, maintain, and distribute daily, weekly, and monthly nursing schedules.Monitor staffing coverage and adjust schedules based on census, staffing needs, and operational requirements.Communicate schedule changes, open shifts, cancellations, and other updates to nursing staff.Track time-off requests, sick calls, leaves of absence, and employee schedule changes.Serve as a primary point of contact for caregivers regarding schedules, availability, and time-off requests.Work closely with nursing leadership to monitor staffing needs and scheduling requirements.Provide administrative and clerical support to the Chief Nursing Officer and nursing leadership.Answer phones, greet visitors, and direct inquiries appropriately.Prepare reports, meeting minutes, correspondence, and other departmental documentation.Assist with administrative onboarding and orientation logistics for new nursing employees in coordination with Human Resources.Track employee licensure, certifications, BLS/CPR, and other compliance requirements.Monitor and maintain office and department supplies.Perform data entry, filing, scanning, copying, bulletin board updates, and other general administrative duties.Maintain confidentiality of employee and departmental information.

Qualifications Previous experience in scheduling, healthcare administration, office administration, or a related field preferred.Strong organizational and time-management skills.Excellent communication and interpersonal skills.Ability to manage multiple priorities and work in a fast-paced environment.Strong attention to detail and accuracy.Proficiency with Microsoft Office and electronic scheduling systems.Ability to handle confidential information professionally.Healthcare or nursing department experience is a plus.

Schedule MondayFriday, 8:00 a.m.5:00 p.m.

Pay Range: $16.81$25.42 per hour (DOE/E) Work Environment This position works primarily in an office/administrative setting and supports nursing leadership and department caregivers.

No direct patient care or clinical responsibilities are required.
