Job Summary

Provides advanced executive administrative support to the Chief Information Officer and the IT/IS department, ensuring efficient coordination of daily operations, communications, calendars, meetings, travel, expenses, departmental records, and executive-level deliverables.

Responsible for processing invoices, creating requisitions and service entries, validating cost center postings, supporting budget and accounting activities, preparing reports and presentations, coordinating departmental functions, and handling confidential information with discretion.

Perform duties with a high degree of professionalism, accuracy, independence, and sound judgment while supporting senior leadership priorities and departmental business needs.

Minimum Qualifications

High school diploma required.

Bachelor's Degree preferred.

Minimum years of job-related experience required: 4.

Word, Excel, PowerPoint, Access, SAP, and office equipment.

Job Duties

Perform financial and business administration for IT/IS, including processing invoices, creating requisitions and service entries, validating cost center postings, resolving invoice discrepancies, maintaining supporting documentation, and coordinating with internal business partners to ensure timely and accurate financial transactions.

Provide senior-level executive administrative support to the Chief Information Officer and IT/IS leadership, including calendar management, meeting coordination, agenda preparation, logistics, follow-up tracking, phone and inquiry response, and coordination of departmental functions.

Develop, format, and maintain executive presentations, reports, spreadsheets, correspondence, department records, and other deliverables using Microsoft Office, SAP, and other business systems; compile information from various sources and ensure accuracy, consistency, and professional presentation.

Prepare, review, and submit expense reports, reconcile supporting documentation, and ensure compliance with corporate policies, approval requirements, and applicable deadlines.

Coordinate domestic and international travel arrangements, including reservations, itineraries, travel documentation, schedule changes, and related communications for the CIO and other designated IT/IS leaders.
