Administrative Coordinator
Good communication with suppliers (reporting any shipment delays and/or issues in a timely manner) and speaking with all parts of production daily to stay informed.
Ability to multi-task.
Flexibility and agility in this role are necessary.
Hours: 8A-5P; M-F
Rate: Starting at $21.19/hr., based on experience.
Standard job responsibilities include:
* Perform required operating system(s) data entry functions (purchase order entry, requisition processing, report creation & analysis, inventory reporting & review, general business functions).
* Weekly ingredient price entry
* Arrange ingredient transportation logistics
* Reconcile invoices and receiving discrepancies.
* Responsible for month end inventory.
* Ingredient purchase record maintenance.
* Tracks and investigates inventory issues
* Answer phones and direct phone calls
* Communicate with a diverse group of people from a variety of departments
* Assists other departments / areas in an administrative capacity as needed
* Other duties assigned by supervisor
Competencies-Skills (Required):
* High school diploma, GED, or a combination of education and relevant work experience required.
* Strong attention to detail and ability to accurately enter, review, and maintain transactions, and inventory information.
* Ability to work independently, make sound decisions, manage multiple priorities, and adjust to changing business needs and deadlines.
* Ability to identify problems, suggest solutions, and take appropriate action within assigned responsibilities.
* Strong written and verbal communication skills, with the ability to work effectively with customers, suppliers, transportation providers, coworkers, and leaders.
* Ability to recognize and report operational, logistics, financial, or customer concerns in a timely and professional manner.
* Proficient in Microsoft Office, including intermediate to advanced Excel skills, with the ability to create, maintain, analyze, and interpret spreadsheets and reports.
* Ability to learn and use company systems, transportation platforms, and other business tools needed for the role.
* Ability to handle sensitive business, customer, supplier, and financial information confidentially and in accordance with company policies.
Competencies-Skills (Preferred):
* Experience with accounts payables in a manufacturing /warehouse environment preferred
* Experience with ERP systems, preferably JD Edwards/SAP
* At least 1 year of experience in administrative or customer service desired but not required
