Front Office & HR Coordinator

Nature of Work: The Front Office & HR Coordinator serves as the primary point of contact for 3Rivers and is principally responsible for answering and routing calls received through the agencys main telephone line, greeting visitors, and maintaining a professional, welcoming, and organized reception area.

In addition to front office operations, the position provides administrative support to Human Resources, Training, and other agency departments.

This position regularly handles confidential and sensitive information and must maintain a high degree of accuracy, professionalism, discretion, and follow-through.

Essential Functions: Front Office and ReceptionPrimary Function Serve as the primary receptionist and first point of contact for visitors, employees, applicants, vendors, and external partners.Answer the agencys main telephone line promptly and professionally throughout the workday.Screen, transfer, and route incoming calls to the appropriate person, department, or location.Accurately record and promptly communicate telephone messages when the intended recipient is unavailable.Respond to routine questions and provide general agency information within the scope of the position.Greet visitors, determine the purpose of their visit, notify appropriate staff, and direct visitors to the proper location.Maintain visitor logs and follow agency procedures related to visitor access, confidentiality, building security, and emergency response.Monitor the front entrance and reception area to support a safe, professional, and welcoming environment.Maintain consistent front desk coverage and coordinate coverage during scheduled breaks, meetings, and approved absences.

Human Resources Administrative Support Provide clerical and administrative support to the Human Resources department under the direction of authorized HR staff.Create, organize, and maintain personnel files in accordance with agency procedures and applicable confidentiality and record-retention requirements.File and retrieve employment documents accurately in electronic personnel records.Review personnel files for missing, incomplete, expired, or improperly filed documentation and notify the appropriate HR staff member.Assist with the collection, organization, and processing of onboarding documents for new employees and other workers.Enter and update authorized employee information in HR, training, or other designated information systems.Scan, copy, label, upload, and archive personnel-related documents.Assist with employment-related forms, correspondence, reports, spreadsheets, and tracking tools.Maintain strict confidentiality and refer employee questions involving policy interpretation, employee relations, compensation, benefits, leave, or other HR decisions to authorized HR staff.
