About the Role
The Medical Records Director is responsible for overseeing the management, accuracy, organization, security, and confidentiality of resident medical records.
This position plays an important role in supporting clinical operations and ensuring compliance with HIPAA, state and federal regulations, and facility policies.
Essential Duties & Responsibilities
* Oversee the creation, maintenance, organization, and storage of resident medical records.
* Ensure medical records are accurate, complete, current, and maintained in accordance with HIPAA and regulatory requirements.
* Monitor documentation for admissions, discharges, transfers, and ongoing clinical updates.
* Conduct routine audits of medical records to identify and address documentation deficiencies.
* Collaborate with nursing, therapy, social services, and administrative departments regarding medical record requirements.
* Process medical record requests from residents, families, authorized representatives, healthcare providers, legal representatives, and other approved parties.
* Maintain and oversee electronic health record (EHR) systems and assist with documentation-related issues.
* Train, support, and provide guidance to medical records staff as applicable.
* Prepare medical record reports, audits, and documentation for internal and external reviews.
* Maintain strict confidentiality and protect all resident protected health information (PHI).
* Assist with survey preparation and regulatory compliance related to medical records.
* Respond to documentation requests and inquiries from regulatory agencies and authorized personnel.
* Promote consistent, accurate, organized, and timely medical record practices throughout the facility.
Qualifications
* Previous experience in medical records, health information management, or a related healthcare field preferred.
* Skilled nursing or post-acute care experience strongly preferred.
* Knowledge of HIPAA, medical record standards, and state and federal healthcare regulations.
* Strong organizational and attention-to-detail skills.
* Ability to maintain confidentiality and handle sensitive information professionally.
* Excellent communication and interpersonal skills.
* Ability to work independently while collaborating effectively with a multidisciplinary team.
* Proficiency with electronic medical records/EHR systems and standard office technology.
