Job Summary - A Receptionist performs routine administrative tasks and ensures smooth and efficient operation of the reception area.
Duties and Responsibilities: - Answer multiple in-coming phone calls simultaneously and efficiently route calls.
- Create a positive first impression to clients visiting our office.
Greet and extend a warm welcome to walk-in guests.
- Execute clerical and general offices duties such as setting up filing systems, data entry, ordering office supplies, and other administrative tasks for special projects as requested.
- Assist with subcontractor paperwork as needed.
- Process and track subcontracts, change orders, purchase orders and correspondence.
- Assist with plan tables as needed.
- Provide administrative support to office staff.
- Make travel arrangements for company associates.
- Maintain the company break/conference room, keeping it neat and stocked.
- Order office supplies and keep inventory of stock.
- Coordinate with Fleet Mgr.
to ensure the completion of all vehicle maintenance and cleaning.
- Availability to complete any team printing needs.
- Maintain up-to-date knowledge of industry trends and best practices.
- Perform other duties as assigned.
Skills and Abilities: - High School diploma - additional college education such as an associate degree or bachelor's degree is valuable.
- 1 - 3 years administrative experience preferred.
- Familiarity with the construction industry is desired but not required.
- Excellent time management, organization, and communication skills.
- Proficiency in computer skills, especially Microsoft Office.
- Ability to multi-task, prioritize and work with minimal supervision.
