Job Title: Executive Assistant – Finance, Legal/Compliance

FLSA Status: Non-Exempt

Department: Finance

Reports To: Chief Financial Officer

Position Summary

The Executive Assistant provides comprehensive administrative support to the Chief Financial Officer and General Counsel while serving as a key partner in maintaining efficient executive and board operations.

This role requires exceptional organizational skills, strong judgment, attention to detail, and the ability to manage multiple priorities while maintaining the highest level of confidentiality.

The position also supports governance, compliance, board administration, and special projects that contribute to the overall success of the organization.

Key Responsibilities


* Manage complex executive calendars, meetings, appointments, and travel arrangements.


* Prepare, edit, and coordinate executive communications, presentations, reports, and correspondence.


* Plan and coordinate meetings, including agendas, materials, logistics, and meeting minutes.


* Support Board of Directors and committee activities through scheduling, document management, and meeting administration.


* Administer and maintain BoardEffect and other board-related systems and resources.


* Coordinate compliance-related activities, including employee training administration and tracking.


* Prepare expense reports, maintain records, and support departmental administrative processes.


* Serve as a trusted liaison between executives, employees, board members, vendors, and external stakeholders.


* Assist with special projects, surveys, governance initiatives, and organizational priorities.


* Provide backup support to other officers and  Executive Assistants as needed.

Qualifications


* Associate degree or equivalent combination of education and experience.


* Minimum of 5 years of executive administrative support experience at the senior leadership level.


* Excellent written, verbal, and interpersonal communication skills.


* Demonstrated ability to manage multiple priorities in a fast-paced environment.


* High level of professionalism, discretion, and confidentiality.
