Location: Novi Sad, Serbia
Working model: On-site (office-based)
Contract type: Full-time, 1-year contract through an employment agency
What will you do?
As a Welcome Service Associate, you will play a key role in creating a seamless and professional experience for Schneider Electric visitors.

You will be responsible for coordinating business visits, hospitality services, accommodation arrangements, and related administrative activities, ensuring every guest receives a high-quality experience throughout their visit.
Key Responsibilities
Corporate Visits & Hospitality Management


* Partner with internal stakeholders to organize and coordinate business visits.


* Plan and manage hotel accommodations and hospitality services according to visitor requirements.


* Arrange hotel and restaurant reservations in compliance with internal procedures.


* Coordinate additional activities and events for guests based on visit agendas.


* Review invoices and validate services provided by suppliers.


* Prepare invitation letters for visitors when required.

Administrative & Operational Support


* Create SAP purchase orders for all costs related to visitor management activities.


* Contribute to initiatives focused on improving the visitor experience.


* Participate in supplier evaluation and performance review processes.


* Prepare reports related to business visits and hospitality activities.


* Create, update, and maintain procedures and guidelines related to visitor management.

What qualifications will make you successful?


* Higher education degree, preferably in Tourism, Hospitality Management, Event Management, or a related field.


* Minimum 2 years of experience in event coordination, corporate travel management, visitor management, hospitality services, administrative support, or similar roles.


* Strong organizational and planning skills.


* Excellent communication and interpersonal skills.


* Ability to work independently and manage multiple priorities.


* Strong attention to detail and reporting accuracy.


* Experience working with suppliers such as hotels, restaurants, and event service providers.


* Professional, proactive, customer-focused, and welcoming approach.


* Fluent English, both written and spoken.


* SAP knowledge is considered an advantage.
