Medical Patient Services Coordinator (RHC)

Position Summary The Medical Patient Services Coordinator provides the first contact between Rolling Hills Clinic and the public and patients.

The coordinator responds to patient and public inquiries via phone, fax, or in person, and performs front office/reception duties including greeting patients, scheduling, posting payments, verifying insurance, providing documentation, and registering patients.

Essential Duties/Responsibilities Welcome and greet patients and visitors to the clinic.Answer questions about Rolling Hills Clinic and provide appropriate information.Promptly check in patients for appointments.Verify that patient demographics are correct and current for every patient; offer patient portal information.Communicate clinic policies and procedures to patients in the lobby and on the phone.De-escalate patient grievances as needed, referring to supervisor/director-level staff as necessary.Schedule patients during check-out.Accurately identify urgent care needs and notify appropriate personnel to triage as soon as possible.Register patients in the EMR with accuracy; assist with clinical forms; verify patient identity and scan documentation.Maintain knowledge of HIPAA, HITECH, and OSHA compliance.Understand and verify insurance eligibility for medical/dental insurances.Receive and apply patient payments accordingly.Reconcile end-of-day cash, patient payments, and charges; prepare deposits.Develop and maintain doctor/hygienist schedules to meet goals.Manage unscheduled and pending lists to ensure patient follow-up and scheduling goals are met.Inform waiting room of delays in schedule.Handle appointment confirmations, recall exams, new patient, and treatment/surgery appointments.Attend training and meetings to keep up-to-date with organizational changes.Maintain provider specialty schedules.Sort, distribute, and scan mail.Operate and ensure functionality of office equipment; address or escalate problems as needed.Open and close the clinic as assigned; post closures due to meetings or holidays.Perform duties safely; follow required protective protocols for personal/community safety.Maintain compliance with ergonomic standards; practice good posture and stretches.Ensure all duties support the safety and health of all personnel.Take corrective action on health and safety matters as raised.Performs other duties as assigned.

Qualifications Required Education & Experience Must be at least 18 years of age.High School Diploma or equivalent.One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination.

Preferred Education & Experience Bilingual Licenses/Certificates Valid BLS CertificationValid California Drivers License Pre-Employment Requirements Pre-employment drug testing.Department of Justice fingerprint clearance through Federal, State, and Child Abuse Index.
