Business Operations Manager
Imagine Early Learning Centers has an exciting opportunity for a Business Operations Manager to work with the Director at our Early Childhood Learning Centers.
We are seeking an experienced and creative professional looking to join a team providing the highest quality, educational childcare for working families.
The Business Operations Manager oversees the centers daily functions, providing as-needed classroom coverage.
Responsible for the center's daily operations, and DOH compliance, onboarding, Playground, and supporting the Director, staff, and families.
Find out more about us at www.imagineelc.com Duties and Responsibilities Include: Administrative Demonstrate initiative in developing efficient systems and procedures, including organization of tasks that are related, documents, and projects.
Enter employee medical/physical expiration dates in UKG.
Enter employee trainings, clearances, certifications, and education credentials in UKG.
Run the Credentials Report each month to track future expirations for the Director and review UKG notifications received.
Run the Education Report in January, June, and October to update and maintain credentials and current ECE credits.
Maintain the Department of Health (DOH) Binder to ensure all documentation is current at all times for inspection.
Ensure the center is opened/closed properly daily, including sweeps, depending on the schedule.
Ensure staff utilize their security devices, such as: walkie-talkies and panic buttons.
Assist with coverage in classrooms, when necessary.
In the absence of the Director, facilitate coverage due to teachers calling out.
Provide assistance with fire drills and center evacuations.
Assist the Director in processing clearances and maintaining documentation.
Prepare enrollment agreements and packets, track the return of necessary documentation, and file accordingly.
Monitor inventory of electronic devices.
Act as liaison for the center and communicate with the Director to resolve concerns.
Coordinate and maintain the waiting list.
Collect, deposit, and track waiting list fees.
Prepare, maintain, and organize employee and childrens files utilizing the Employment and Children Files Checklists to ensure they are current and complete.
Utilize and maintain the center's visitors' log, including checking IDs.
Manage the parent email group and communicate with parents as required.
Schedule and conduct tours as necessary.
Update the accident/incident report for children.
Coordinate reimbursement to parents for child accident/injury out-of-pocket expenses with Human Resources.
Administer inventory of office and classroom supplies and materials.
Communicate with the Director and teachers to anticipate the need for additional supplies for holidays, activities, and center-wide events.
Review packing slips to verify orders and correct discrepancies.
Maintain inventory of snack/grocery supplies, as per Imagine Snack Menus.
Print Snack Menus monthly and post.
