Intake Coordinator (Watt Ave Interim Housing)

Position Overview:The Shelter IntakeCoordinatorserves as the primary point of contact for emergency shelter admissions while ensuring the accuracy, integrity, and reporting of client data.

This position conducts client intake, eligibility determination, HMIS data entry, bed management, and reporting while collaborating with case managers and leadership to support high-quality client services, regulatory compliance, and grant reporting.

Work Environment and Work Schedule: This position is in-person, onsite at our Watt Ave.

Safe Stay Community Shelter.

The role will be scheduled for the following shift: Monday-Friday, 7:00am-3:30pm Key Responsibilities/Essential Functions Conduct client intake, screening, and admissions for emergency shelter programs.Verify eligibility and collect required documentation.Orient clients to shelter rules, services, and expectations.Create and maintain HMIS records in compliance with HUD and Continuum of Care requirements.Enter assessments, enrollments, exits, services, case notes, bed assignments, and housing outcomes into HMIS within required timelines.Monitor bed availability and coordinate admissions with shelter staff.Perform data validation, quality assurance, and resolve discrepancies.Generate reports for leadership, funders, audits, and program evaluation.Maintain confidentiality and comply withHMIS privacy/security standards and organizational policies.Collaborate with case managers and program leadership to ensure accurate documentation.Develop dashboards and reports using Excel or similar tools.Create individual client files and assign to available Case Manager.Update all trackers with Case Manager assignments.Exit all clients upon exit and file records for storage.Support grant reporting and outcome measurement initiatives.
