T&M Invoicing Coordinator
Purpose
The T&M Order Specialist will play a vital role in supporting the US Services Organization by ensuring timely revenue recognition through effective management of Time & Material (T&M) order types.
This position provides critical support during both the Tender and Execution phases of customer projects, offering administrative, contractual, financial, and tax-related assistance.
The role involves close collaboration with Service Execution/Field Service teams and alignment with Corporate Functions to ensure compliance and efficiency.
The specialist must also be capable of supporting complex projects and navigating multifaceted requirements.
Role and Responsibilities
* Build and maintain strong relationships with strategic partners, Field Services teams, service execution and sales organizations to support business alignment and collaboration.
* Validate inbound T&M quotations, ensuring accuracy and compliance with internal processes.
* Proactively manage pending T&M quotes, engaging stakeholders to drive timely quote conversion and service delivery.
* Engage internal stakeholders and customers in the T&M process by educating them on pricing, labor rates, travel, part and shipping costs.
* Support the creation of new direct account requests, ensuring accurate and timely submission.
* Maintain data integrity by updating internal databases with accurate account details, including contact information, addresses, and financial data.
* Oversee the backlog of quotes pending invoicing.
Generate invoices promptly and proactively resolve any obstacles to accelerate the invoicing process, enhancing the organization's time-to-revenue.
* Perform additional duties as assigned by management, contributing to team success and operational efficiency.
Key Competencies
* Bachelor's Degree in Business Administration, Science, or Supply Chain
* Preferably 1-4 Yrs.
experience in Customer Service or equivalent
* Solid understanding of Service delivery and what constitutes a typical service lifecycle
* Strong analytical and problem-solving abilities as well as attention to detail
* Adept in the use of Microsoft Word, Excel, PowerPoint and Sharepoint
* Experience with Salesforce, Oracle, and SAP is preferred
* Excellent written, verbal, and interpersonal communication skills for effective interface with all internal and external contacts.
* Proven ability to work in a team environment between the functions of Manufacturing Operations, Customer Care Center, Sales, Marketing, and Finance, and interact regularly with senior management regarding goals and accomplishments.
• Team player, who listens well and carefully considers their actions before initiating them, while organizing large groups of people and effectively deliver information in an impactful way.
