Position Overview:

The Parts Sales Assistant is responsible for supporting administrative functions as directed by management.

This role serves as the initial point of contact for customers via phone and email, ensuring all necessary information is accurately gathered and communicated to the appropriate Parts Sales Coordinator (PSC) to initiate the quote and order process.

The position also supports customer inquiries, internal coordination, and credit processing activities.

KEY DUTIES & RESPONSIBILITIES:

• Customer Communication:
Answer inbound phone calls related to parts sales, gather all relevant customer and order information, and route details to the appropriate Parts Sales Coordinator.

• Inbox Management:
Monitor and manage all parts sales inboxes to ensure:


* Timely customer responses


* Accurate assignment to the correct PSC based on territory

• Email Response:
Respond promptly and accurately to customer and internal email requests in alignment with role expectations.

• Order Support & Status Updates:
Provide customers with updates including:


* Invoice requests


* Tracking numbers


* Order status inquiries

Credit Processing Support:


* Assist management with the processing of approved credits, ensuring accuracy and proper documentation.

Additional Responsibilities:


* Perform other duties as assigned to support the efficiency and effectiveness of the parts sales team.

EXPERTISE REQUIRED:



* Bachelors in Supply Chain, Management or Simillar


* Customer service experience


* Proficiency with MS Office and AS/400 system utilized to reference parts information


* Ability to interpret a material requirement planning system


* Excellent interpersonal, communication, analytical and organizational skills
