Project Administrator

Essential Duties and Responsibilities



* Project Administration & Documentation - Maintain accurate and up-to-date project documentation, action logs, RAID logs, schedules and trackers in line with PMO standards


* Meeting Coordination & Governance Support - Schedule and support project meetings, prepare agendas, take minutes, track actions and ensure governance artefacts are produced on time


* Reporting Support - Assist in the preparation, collation and quality-checking of weekly/monthly project and portfolio reports, ensuring accuracy and consistency


* Template & Process Compliance - Ensure project teams use the correct templates, processes and methods as defined by the PMO Lead, flagging any gaps or inconsistencies


* Data Management & Systems Updating - Maintain project information within internal systems (including The Max and portfolio tools), ensuring data quality and version control


* Risk, Issue & Dependency Tracking - Support project leads in capturing, updating and escalating risks, issues and dependencies as required


* General Project Support & Coordination - Provide day-to-day support to Project Managers and Workstream Leads, helping to keep delivery on track and ensuring administrative tasks are handled quickly and professionally.

Preferred Skills and Qualifications
Essential


* Experience in an administrative or coordinator role, ideally within projects, PMO or change environments


* Strong organisational skills with the ability to manage multiple tasks and deadlines


* Excellent attention to detail and ability to maintain accurate records


* Competent in Microsoft Office (Excel, Word, PowerPoint) and comfortable working with data


* Ability to communicate effectively with colleagues at all levels


* Proactive, structured approach to work with a focus on quality and consistency

Desirable



* Experience working within a PMO or structured project environment


* Understanding of project terminology, governance processes and lifecycle stages


* Familiarity with portfolio or project management tools


* Interest in developing PMO or project management skills (APM/PMO qualifications)
