SENIOR ACCOUNTING SPECIALIST

SUMMARY

The Senior Accounting Specialist is responsible for performing routine and complex accounting activities requiring knowledge of systems, independent judgment and ability to respond accordingly.

The Senior Accounting Specialist will apply accounting principles, theories, concepts, and practices to recurring and non-recurring situations.

Much of the work is compliance related or involves providing financial information to senior leadership.

ORGANIZATIONAL RELATIONSHIPS



* Responsible to the Controller and has a support responsibility to other departments as necessary.

ESSENTIAL DUTIES AND RESPONSIBILITIES
 


* Manage the onboarding, monitoring and renewals of all vendors, subcontractors, and/or landlords, including the preparation of contracts, as needed.



* Maintain subcontractor, vendor and/or landlord files; create and issue IRS form 1099 whenever appropriate.  Ensure W-9s and sales tax exemption documents are mailed to and received from vendors for proper tax maintenance.



* Maximize private pay and third-party reimbursement through efficient billing and collection operations.

Prepare and reconcile grant and grant co-pay billing monthly and private pay billing bi-weekly.

Organize and maintain revenue/grant contract files including any amendments and billing invoices.



* Manage fixed assets, issuing inventory control tags, recording all fixed assets in the accounting software, record recurring depreciation entries, remove assets as required, and perform an annual inventory inspection.



* Prepare all banking and investment account reconciliations for COA, LGF, and individual Guardianship client accounts.



* Prepare and reconcile grant billing monthly and private pay billing bi-weekly.



* Reconcile all intercompany accounts, including preparing intercompany invoices and cash transfers.
 


* Prepare and enter journal entries into the accounting system.

Review and post all journal entries prepared by the accounting specialist.



* Prepare general ledger account reconciliations monthly.
 


* Maintain a record of all in-kind support for various grants and projects; coordinate the procurement of appropriate documentation, prepare and enter the related journal entry into the accounting system.



* Assist controller with audit and tax preparations.



* Provide technical guidance and back-up support to the Finance department in AP, AR and Payroll.



* Encourage outstanding customer service from the Finance Department.



* Maintain strict confidentiality of all fiscal information.



* Perform other duties as assigned.

* Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards



* Ability to treat confidential information with the highest ethical and professional standards.



* Ability to work independently and autonomously.



* Ability to compute rate, ratio, and percentages.



* Ability to utilize general office equipment and other necessary equipment.



* Ability to use personal computer and various software packages.



* Advanced knowledge of Microsoft Office Programs, such as Word, Excel, PowerPoint and Outlook, and proficient knowledge of Microsoft Access.

EDUCATION and/or EXPERIENCE

Bachelor’s degree in Accounting, Business, Finance or related field and five years related experience and/or training required; or equivalent combination of education and experience.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT: 



* Performs sedentary to light work in a ventilated, lighted and temperature-controlled office setting.


* Frequent need to sit, stand, stoop, walk, talk and hear.
