Receptionist
The Receptionist's responsibilities include, but are not limited to:
* Greets and assist guests, which could include outside guests, maintenance, employees, food deliveries and plant deliveries.
* Provides phone coverage for the 18th floor, ensuring calls are routed appropriately.
* Coordinates scheduling the boardroom.
* Handles management meeting books.
* Acts as administrator for the boardroom calendar.
* Ensures orderliness of the boardroom after meetings.
* Issues parking validations for guests.
* Monitors 18th floor cameras throughout the floor.
* Monitors and maintains office supply inventory and paper supply for the 18th floor.
* Prepares and ensures coffee is in the boardroom Mon-Fri.
* Delivers newspapers to recipients of the 18th floor and ensure orderliness around desk area.
* Replenishes items in areas where needed.
* Requests via email the visitors of the day from those anticipating guests.
* Maintains familiarity with company leadership, board of directors and other key stakeholders.
* Demonstrates company confidentiality.
* Maintains a positive and professional demeanor during all interaction.
* Completes various other administrative duties for the 18th floor.
* Provides backup support to Chairman and Vice Chairman.
* Performs other tasks as requested or assigned.
The successful candidate will meet the following qualifications:
* High school diploma is required.
Associates degree preferred.
* 5-10 years of experience is preferred in an administrative role, supporting executives or leadership teams in a corporate environment.
* Attention to detail and accuracy are required.
* Ability to juggle competing priorities, multi-task and be flexible in a variety of workplace situations.
* Proficiency in Microsoft Outlook and Word is required.
* Ability to handle confidential information with discretion and sound judgement is required.
* Must have excellent written and verbal communication skills, with the ability to interact professionally with a variety of stakeholders.
