Senior Executive Assistant

The Diversity, Opportunity, and Inclusion team (DOI) offers the opportunity to work in a fast-paced and evolving organization.

This role will support the heads of two Centers of Excellence within DEI: Office of Asian & Pacific Islander Affairs and Office of Black Affairs.

These teams are collaborative and results-oriented, and need an Executive Assistant who brings a focus on attention to detail and quality.

As a Senior Executive Assistant on the Diversity, Opportunity and Inclusion team (DOI), you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output.

You will engage daily with various executive-level internal clients across different lines of business, team members, and external partners.

You will be expected to learn and apply procedures, processes, and techniques to complete assignments that align with the team's activities and goals.

Job responsibilities


* Maintain complex and detailed calendars


* Manage the coordination and logistics of both internal and external meetings


* Screen incoming calls and determine the level of priority, while using caution in dispensing information


* Arrange and coordinate complicated domestic and international travel and Process invoices and Travel and expense claims for team members


* Organize aspects of internal and external events, including catering and transportation


* Assist with staff on-boarding and off-boarding, which includes requesting equipment setup and system access


* Produce high quality emails and messages to individuals at all levels of the organization


* Maintain department documents, including current organizational charts, Executive Bio's, team lists and email distribution lists


* Assist in editing spreadsheets and presentations, including printing and binding, for meetings


* Maintain team-branded merchandise and storage in office


* Handle technology-related tasks including shared mailboxes, managers' calendars, and team certifications for tech access

Required qualifications, capabilities, and skills


* At least five years of administrative experience


* Advanced ability to organize work, and proactively and independently manage activities


* Discretion and good judgment in confidential situations, and proven experience interacting with senior management


* Strong interpersonal, written, and oral communication skills


* Strong proficiency in Microsoft Office


* Excellent telephone etiquette and ability to manage competing priorities i.e.

calendar management

Preferred qualifications, capabilities, and skills


* Experience supporting at the Managing Director level or equivalent


* College degree is a plus
