Position Summary

This role is responsible for coordinating all administrative and operational processes related to doctors.

The position serves as the communication hub between HR, Payroll, Regional Managers, Office Managers, Executive Teams, and doctors.

Key responsibilities include managing the doctor roster and location guide, coordinating onboarding and terminations, processing doctor reimbursements, communicating doctor time off and payroll schedules, and ensuring that all applicable parties are updated on doctor changes.

* Maintain and distribute updated doctor rosters, location guides, and operatory guides.


* Track and communicate doctor time off requests, and update schedules accordingly.


* Coordinate with HR, Payroll, and other departments on doctor onboarding, transfers, separations, and status changes.


* Submit reimbursements for continuing education, MedPro, and general doctor expenses.


* Coordinate benefit reviews with the Benefits Specialist before a doctor’s start date.


* Initiate and track all action items related to doctor start, transfer, or termination processes, with continual follow-up.


* Ensure timely communication of doctor workdays for payroll processing.


* Maintain confidentiality of provider and company information.


* Support onboarding logistics, including scheduling acclimation sessions.


* Comply with all Dental Depot policies, OSHA, and HIPAA requirements.

Position Qualifications

Education:

Associate’s degree preferred.

Experience:

2+ years of administrative, operations, or coordination experience in a professional setting.

Certifications & Licenses:

None

Computer Skills:

Proficiency with Microsoft Office Suite and related software.

Other Requirements:

Must have a valid driver's license, proof of valid vehicle insurance and must have annual Motor Vehicle Record Check, as a condition of employment if employee operates any Company owned vehicles or drives their own personal vehicle for Company business purposes.
