Billing Administrator / Project Assistant

What you will do as a billing administrator / project assistant:


* Assist in creating invoicing backup for complex projects, interacting with multiple customer-specific invoicing programs


* Manage assigned project accounts, collections, and reconciliations


* Interpret customers’ contractual terms and apply these to ARA’s accounting system and processes


* Provide customer service to internal and external customers; research and resolve billing questions and issues


* Generate, distribute, and follow up on various electronic billing reports to billing teams and managers


* Monitor, track, and resolve invoice rejections for resubmission in a timely manner by collaborating with the billing team, partners, and customers


* Manage electronic document archives


* Create forms and queries using Microsoft Access


* Review equipment allocation, create biweekly entry forms, and enter Journal Entries into our Costpoint accounting system


* Engage in team meetings about deadlines, goals, and projects the team supports


* Assist in subcontracting, performing analysis of supplier proposals with respect to Terms and Conditions, appropriate FAR clause flow-downs, proposed price/cost, schedule, and coordination of the technical response as it relates to the specifications/statement of work


* Participate in multifunctional teams to obtain business solutions to complex, nonstandard agreements; regularly interact with other procurement organization staff, functional peer groups, suppliers, and internal customers


* Carry out additional responsibilities as required to support team objectives

Billing administrator / project assistant requirements:


* Bachelor’s degree with 0-2 years of experience, or 6-8 years of experience with no degree


* Highly efficient computer skills with the ability and willingness to learn new programs/skills


* Familiarity with Adobe Acrobat and Microsoft Office, particularly Excel, Access, and Word


* Detail-oriented, proactive, and organized, with a strong work ethic


* Customer service-focused with excellent time management and prioritization skills
