Key Responsibilities
Administrative & Clerical Support
* Support Admissions: Assist the Admitting Coordinator with all aspects of resident admissions, transfers, and discharges.
* Data Entry & Records:
+ Accurately enter resident information into the system and maintain physical and digital admission records.
+ Help prepare and organize identification records for residents.
+ Assist in maintaining accurate records of available beds and resident room assignments.
* Document Management:
+ Prepare admission information packets for residents.
+ Assist in obtaining necessary signatures on permits, releases, and authorizations.
+ Organize and file resident admission paperwork.
* Communication & Coordination:
+ Support communication efforts with residents, guardians, and sponsors as directed.
+ Assist in notifying nursing services when residents arrive.
+ Help maintain a good working rapport with other departments within the facility.
General Office Duties
* Answer and direct phone calls professionally.
* Manage incoming and outgoing mail and faxes.
* Maintain an organized and efficient workspace.
* Perform other administrative tasks as assigned by the Admitting Coordinator or supervisor.
Supervisory Requirements
This position has no supervisory responsibilities.
Qualifications
Education & Experience
* High school diploma or GED is required.
* Previous administrative or office experience is preferred.
Language Skills
* Ability to read and understand general business documents and instructions.
* Ability to write clear and concise correspondence.
* Ability to communicate effectively and courteously with residents, families, and staff.
Mathematical Skills
* Basic mathematical skills, including the ability to perform simple calculations.
Reasoning Ability
* Ability to follow instructions accurately and complete tasks efficiently.
* Ability to identify and solve basic administrative problems.
Certificates, Licenses, Registrations
* Proficiency in typing (minimum 30 words per minute) and basic computer skills are essential.
* Familiarity with office software (e.g., Microsoft Office Suite) is a plus.
