Office Administrator

Description & Requirements

Maximus is seeking an Office Administrator to assist the department by performing any combination of entry-level clerical duties requiring general knowledge and the application of various work methods and procedures.

This is a hybrid position.

The candidate will travel to the Rancho Cordova office and be on-site during regular office hours at least 2-3 days a week.

Essential Duties and Responsibilities:
- Answer general inbound calls and place outbound calls with the goal of increasing business, customer satisfaction, and customer retention.
- Follow basic procedures and scripts, using fundamental knowledge of company and project directories, services, and products to assist customers and clients.
- Type or generate letters and other documents as necessary.
- Assist in the maintenance of the office record and filing systems.
- Retrieve, log, and route correspondence (faxes, email, letters, etc.).
- Prepare outgoing or log incoming shipments.
- Ensure document control of mail and project correspondence.

Job Specific Minimum Requirements:

- Answer general inbound calls and place outbound calls with the goal of increasing business, customer satisfaction, and customer retention.

- Perform in-depth and routine administrative functions including daily support of office administration, calendar management, meeting logistics, travel arrangements, lunch & Dinner arrangements, as well as preparing check requests, expense reports, and vendor invoices.

- Follow basic procedures and scripts, using fundamental knowledge of company and project directories, services, and products to assist customers and clients.

- Take notes and minutes of meetings and action items and follow up on them to completion/resolution.

- Type or generate letters and other documents as necessary.

- Assist in the maintenance of the office record and filing systems.

- Retrieve, log, and route correspondence (faxes, email, letters, etc.).

- Prepare outgoing or log incoming shipments.

- Ensure document control of mail and project correspondence.

- Perform the role of a receptionist

Minimum Requirements

- High School diploma or equivalent with 4+ years of experience, or Associate degree with 2+ years experience.
- May have additional training or education in area of specialization.
- Works on assignments that are moderately difficult, requiring judgement in resolving issues.

Understands implications or work and makes recommendations for solutions.
- Has substantial understanding of the job and applies knowledge and skills to complete a wide range of tasks.
- Able to research and resolve most non-routine issues independently.
- Communicates on complex or sensitive issues or draft such responses for supervisor or team lead.
