Johnson & Johnson is hiring for an Administrative Assistant to join our team located in Shockwave Medical Costa Rica.

Our Shockwave Medical portfolio aims to establish a new standard of care for medical device treatment of atherosclerotic cardiovascular disease through its differentiated and proprietary local delivery of sonic pressure waves for the treatment of calcified plaque.

Position Overview

The Administrative Assistant will provide administrative support to the CR VP of Operations and other members of these management teams, as needed.

In this position, the Administrative Assistant will be responsible for providing administrative support on a day-to-day basis.

This includes clear communication; discrete handling of confidential information; accountability; and performing a wide variety of complex and critical administrative duties.

Essential Job Functions

· Coordination and support for travel, calendar scheduling, meetings, conference calls, expense reports, team meetings/activities and communications.

· Create, review and edit documents and spreadsheets from Microsoft Word, Excel, Smartsheet, and PowerPoint.

· Prioritize and manage multiple tasks concurrently under aggressive timelines.

· Responsible for handling travel arrangements, hotel accommodation, airline reservations, rental cars, and off-site meeting venues for the CR Operations team and others as need it.

· Assist with department purchases, creation of purchase requisitions, budget, and contracts, working with cross-functional teams as necessary.

· Arrange special meeting facilities, coordinate with external vendors, send meeting confirmation emails, prepare and distribute meeting materials, and take and send minutes of meeting when necessary.

· Assist with sending out meeting invites, logistics arrangement and coordinating audit-related activities.
