Position Overview:
We are seeking a highly organized and detailed-oriented Administrative Assistant to support daily office operations and ensure efficiency within our HR team. The ideal candidate will be responsible for handling administrative tasks, documentation, and assisting with general office HR duties.
Key Responsibilities:
* Provide day-to-day administrative assistance to the HR department, including drafting and editing documents, handling correspondence, and organizing files.
* Coordinate HR-related meetings, prepare materials, and ensure information is up-to-date and accurate.
* Serve as a point of contact for employee inquiries regarding payroll, benefits, and general HR matters.
* Maintain accurate employee records, ensuring all personal details, performance reviews, and attendance data are current.
* Ensure compliance with company policies and legal standards related to document retention and employee confidentiality.
* Stay updated on federal, state, and local employment laws and regulations to ensure compliance.
* Assist employees with understanding and adhering to HR policies and procedures.
* Support the development and execution of HR initiatives to improve employee engagement and awareness.
* Regularly update HR databases and assist with HR audits to ensure records are accurate and compliant with legal requirements.
* Provide administrative support, including drafting and proofreading documents, correspondence, and reports.
* Create and manage spreadsheets, databases, and reports, collecting data for tracking and reporting purposes.
* Serve as a resource for employees, answering questions and helping resolve concerns related to HR policies and procedures.
* Coordinate the onboarding process for new hires, including New Hire Orientation and initial HR training.
* Support the enrollment and management of employee benefits, including health insurance, retirement plans, and leave policies.
* Manage office supplies and equipment, placing orders as necessary to ensure the office remains well-stocked.
* Greet visitors and direct them to the appropriate department or personnel, ensuring a professional and welcoming reception.
* Answer phone calls, respond to inquiries, and relay messages as needed, ensuring excellent customer service at the front desk.
* Support compliance with employment laws and company policies, ensuring HR practices are up-to-date and aligned with regulations.
* Assist in the preparation of HR reports, track key metrics, and maintain records related to employee health and safety.
Qualifications:
* High school diploma or equivalent required; additional certification or HR-related training is a plus.
* Minimum of 2 years of experience in an administrative or similar support role.
