Applied Research Associates, Inc.

is seeking an energetic, well-organized Administrative Assistant for our Baton Rouge, LA office to support a multidisciplinary team that provides engineering and software development services.

The qualified candidate will have 2-3 years of previous experience as an administrative assistant.

The Administrative Assistant will provide support to ensure efficient operations of the office.

The successful candidate will be responsible for performing a wide variety of administrative support tasks in support of a multidisciplinary team.

This is an on-site position, which does not allow for remote work.

What you’ll do as an Administrative Assistant


* Provide administrative support to the technical staff, including:
+ Answer incoming telephone calls.
+ Meeting preparation and support (i.e., teleconference, food, visitor log)
+ Greet and check-in visitors.
+ Order and manage office supplies.
+ Submit and coordinate facility work orders.
+ Manage office purchases, credit card purchases and Accounts Payable
o Prepare required documentation and obtain purchase approvals.
+ Coordinate Career Fair
o Career fair registrations and marketing product support.
+ Arrange travel for the division.
o
# Book travel, process employee travel expense reimbursements.
+ Reconcile monthly credit card statement for office purchases and travel.
+ Other general administrative duties as assigned.

Administrative Assistant Position Requirements


* Must be a US Citizen.


* Must be able to obtain a DoD security clearance.


* Must have a valid driver's license.


* Requires High School diploma or equivalent and 2-3 years of related experience.


* Ability to multi-task.


* Must be process oriented and flexible, being able to handle constant change and interruptions with a proven record of increased productivity.


* Excellent verbal and written communication skills with strong attention to detail


* Must be able to utilize resources in order to meet


* Self-Starter who takes initiative


* Basic knowledge of Microsoft Word, Excel, Power Point, and Outlook


* Strong Interpersonal skills


* Excellent organizational and time management skills


* Ability to keep sensitive information

Administrative Assistant Position Preferences


* Experience with SharePoint


* Experience with Concur System
