Personal Assistant to GM & Quality Coordinator - Continental Plaza Beach Resort

Your Day-To-Day
• Reports directly to and communicates with the General Manager on all administrative matters
• Maintains the utmost confidentiality and discretion when handling business affairs
• Cooperates, coordinates and communicates with Department Heads and other inter-departmental secretaries as appropriate
• Supervises the work of the Executive Office staff (Secretaries, Receptionist, Messengers, Drivers)
• Day-to-day secretarial work to include typing, filing, faxes and telephone etc.
• Distribution of memos, letters and other information etc.
• Arranging internal / external appointments
• Handling reservation as requested
• Translating incoming letters, documents, articles by request
• Provides pertinent information on socio-political matters
• Storing and keeping all confidential information
• Preparing monthly operational results for meetings with other hotels
• Taking minutes of Department Heads /Ex.Com meeting as requested
• Develop and implement quality assurance programs to enhance service standards.
• Conduct regular audits and inspections to ensure compliance with brand guidelines and regulations.
• Gather and analyze data to identify trends, address service issues, and implement improvements.
• Provide administrative support to the General Manager, including scheduling, correspondence, and report preparation.
• Collaborate with department heads to reinforce quality standards across all areas of the resort.
• Brand standards updates awareness and ability to guide all departments concerned
• Communicating all changes related to Brand standards
• Conducting quality self-evaluations
• Conducting weekly quality tours
• Forming a quality team from HK ENG Fb
• working closely with department heads in the different compliance requirements
• Following up on deep clean and preventative maintenance schedules with the concerned teams
• submitting waivers with the required supporting documents and rationale
• Following up on duration of waivers and timing of resubmission in case of non-compliance
• Conducting regular breakfast audits ensuring compliance to brand standards
• Be part of the manager on duty over weekend ensuring attention to cleanliness and condition of all guest areas
