A Brief Overview
Support R&D daily Business Operation's needs, focusing in supporting the new vendor creation process, vendor management, vendor contracting and relations, and PO creation and management.
In addition, the role will also support R&D and various other functions with tasks as they are needed (i.e access to historic information, tax data, etc.).
What you will do
* New vendor approval process:
* Support the R&D team to acquire approval for new vendor by coordinating with Merz stakeholders (E.g., Legal, Quality) based on company SOPs and requirements for new vendor.
Support the vendor management process to ensure efficient processing for new vendor requests
Icertis processing:
* Responsible for the Icertis processing for R&D team.
Create new supplier form; enters SOWs; Monitor contract expiry date and follow up as necessary.
Revise and update SOWs to add money and if needed to help closeout SOWs
Ariba Support:
* Responsible for SOW related PO management for R&D in Ariba system.
Receive quotes.
Assist with capital expenditure forms.
Follow up and respond to vendors in a timely manner.
Update PO’s if Icertis SOWs funds are added.
Document Support Management:
* Maintain access to historic documents as needed.
Provide support to Legal team with historic documentation as needed
Other R&D operations as needed:
* Corporate Month End Closing - Run reports from FedEx and SAP to collect all DE VAT Tax paid to freight suppliers.
Create a JE to isolate charges.
Send amounts, copies of invoices and JE info to Germany and Kim Fawcett so we can request a refund.
Providing supplier information to Deloitte for tax credits.
Provide all Medical Device Suppliers with Tax Exempt Certificates for NC & WI.
Support FedEx shipping and secure packaging material as needed.
Support other R&D operation needs as assigned
Minimum Requirements:
* Bachelor of Science (B.S.) 4-year undergraduate degree in business administration or related field.
* 2+ years industry experience working cross functionally in an office or manufacturing environment
Preferred Qualifications:
* Accounting and administrative assistant experience
* Experience in medical device industry or similar

* Strong interpersonal skills
* Strong organizational skills
* Proactive approach to work; demonstrates initiative and reliability
