Executive Assistant
Job Summary:
The Executive Assistant is a highly organized professional who will provide comprehensive administrative support to our Management Team. Responsibilities include (but not limited to): Overseeing the Management Teams calendars (including travel arrangements i.e.
flights, accommodations, transport if needed), handling correspondence (Point of Contact), coordinating meetings, and performing complex assignments to ensure efficient operations. Proficient time management are an essential part of the position. This person will require excellent communication, and organizational skills while maintaining the ability to multitask. The candidate must have the ability to handle sensitive information with discretion and maintain confidentiality. The ideal candidate will also be able to work independently, and prioritize competing demands effectively.
Key Responsibilities:
* Communication: Serve as a liaison between executives, handling phone calls, emails, and other correspondence with professionalism and discretion.
* Meeting Coordination: Organize and prepare materials for meetings, take notes, and follow up on action items to ensure timely completion.
* Document Management: Draft, review, and proofread documents, reports, and presentations as needed.
* Project Assistance: Assist in the planning and execution of special projects or initiatives, supporting the team with research, scheduling, and logistics.
* Event Planning: Coordinate and manage company events, conferences, or team-building activities.
* Marketing Assistant- Manage content on all social media platforms, coordinate tradeshow activities and manage tradeshow inventories
Qualifications:
* Bachelor’s degree in Business Administration (BBA) or equivalent experience.
* 3+ years of experience as an executive assistant or in a similar administrative role.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with marketing and social media skillsets.
* Excellent verbal and written communication skills.
* Ability to prioritize tasks and work efficiently under pressure.
* High level of professionalism, integrity, and discretion.
* Experience with travel arrangements and event planning is a plus.
Physical Demands and Work Environment:
The person in this position needs to occasionally move about inside the office to access file cabinets, office equipment, etc. Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Must be able to remain in a stationary position 75% of the time. Must be able to communicate information and ideas so others will understand.
Must be able to exchange accurate information in these situations. Must be able to observe details at close range.
