Mobility & Transportation Administrative Assistant

BASIC PURPOSE

 

·         Performs a variety of administrative professional duties to facilitate and support the activities and functions of the Mobility and Transportation Departments.

 

·         Reports to the Director of Transportation as well as assists and takes direction on special tasks and other assigned duties by the Operations Administrator (O.A.).

 

ESSENTIAL FUNCTIONS

 

·         Answers the phone, provides relevant company information, and receives information  concerning business matters related to Mobility or Transportation.

 

·         Assists, facilitates, passes along messages, answers questions, processes requests/inquiries, and helps with fact-finding for PSTA Bus Operators, PSTA Supervisors,  and SEIU Union Reps.

 

·         Assists the Mobility Team with mailing out applications for PSTA and TD;  mails out eligibility letters for PSTA Access Customers.

 

·         Fulfills public record request documentation as notified by PSTA’s Executive Department.

 

·         Performs typing and transcription duties, prepares routine correspondence, distributes/processes incoming and outgoing mail.

 

·         Prepares reports for the Mobility and Transportation Departments as needed.

 

·         Assists the Mobility Department with scanning and filing incoming applications for Transportation Disadvantaged (TD), TD Late Shift, and PSTA Access programs.

 

·         Establishes and maintains a variety of files, logs, and records.

Reproduces documents for the Mobility and Transportation Departments as needed.

·         Assists     with     driver    paddles    reproduction     (and    distribution)     during    run    bid  implementation.

 

·         Uses the Access Database in order to update Bus Operator information and to reproduce the Bus Operator Seniority Roster.

 

·         Maintains Bus Operator and Transportation Supervisor performance files and creates  files for new employees.

 

·         Maintains “off day” and meeting room reservation calendars for Operations team.

 

·         Schedules and sets up meetings and conferences (e.g.

Zoom, MS Teams, WebEx,  telephonic) and other conference meetings as needed/requested.

 

·         Responsible for the upkeep of bulletin boards in the Operators, Supervisors, and Administrative areas.

 

·         Maintains inventory of incident/accident reports, Supervisor Reports, Cancellation forms, Request-for-Leave forms, From-the-Driver’s-Seat-Cards, and Pre-Trip forms as well as other documents in the drivers’ area.

 

·         Maintains office supply inventory and distribution in accordance with established  procedures; maintains and adheres to office supply budget.
