The County of Riverside's Veterans' Services is seeking a qualified candidate for their Executive Assistant III (At-Will) position to join the team in Riverside.
The Executive Assistant III will support the Director of Veterans' Services and support staff in a variety of ways and areas, such as: managing the Director's calendar, which includes coordinating and scheduling meetings with other direct reports, the Board of Supervisor's office, county department heads, and any other outside agency/personnel, taking and transcribing meeting minutes, participating in management meeting; travel arrangements, answering and pre-screening all incoming calls; and preparing board agenda items.

Other duties include assisting administrative personnel as needed.

The department seeks applicants who are self-motivated, organized, and who have professional secretarial experience in a fast-paced environment.

The most competitive candidates will have office administration experience.

Applicants with executive clerical experience in the public sector are also highly desired.

Additionally, candidates should have experience in the standard Board Agenda operations for the County of Riverside.

Proficiency in the use and management of Microsoft TEAMS is also highly desired.

The Executive Assistant III is not a natural progression underfill for the class of Executive Assistant IV.

Advancement to the next level is obtained by competitive selection through an open recruitment.

This class has been designated At-Will in accordance with the provisions provided under Article 6, Section 601E (8) of the County Management Resolution and serves at the pleasure of the County Executive Officer.

EXAMPLES OF ESSENTIAL DUTIES

• Research, compile, and summarize information, data and statistics for regular and specialized reports.

• Prepare correspondence and reports independently; prepare itineraries and coordinate meetings/participants' schedules; arrange appointments and maintain manager's calendar; make travel arrangements for manager and staff; sort, screen, prioritize, and route incoming mail.

• Screen telephone calls and visitors directing them to the appropriate parties; answer questions and assist staff and the public; obtain information about agency/ departmental policies and procedures.

• Establish, maintain, and direct the preservation of a variety of complex and/or confidential records; maintain and distribute agency/departmental procedures and rules; prepare, recommend, and establish office standards and procedures.

• Prioritize correspondence along with supporting materials for manager's review, reply, and disposition.

• Serve as liaison between manager and subordinates, other managers, other county agencies/departmental staff and other governmental agencies and the public.
