Administrative Assistant

MISSION:

Performs a variety of administrative and secretarial functions necessary to support the Organization.

Performs duties of a complex and/or confidential nature, requiring exercise of initiative and judgment.

Performs word processing activities.

ACCOUNTABILITIES:

1.

Performs administrative tasks that are necessary to support the principals served, including preparation of reports and data entry on the computer.
2.

Exercises initiative and judgment in determining action to be taken on routine and nonroutine matters with respect to urgency, confidential status, and importance.
3.

Prepares correspondence, presentations, memos and reports from notes and/or dictation equipment within limits of delegated authority in a timely and accurate manner.

As directed, handles or refers for handling, all matters requiring attention/action.

Proof-reads assigned materials for accuracy.
4.

Schedules, plans, and coordinates meetings and conferences.

Makes travel arrangements and secures hotel accommodations as needed, ensuring compliance with TDW Travel Management program
5.

Answers phones and routes telephone calls to appropriate principal.

Responds to telephone requests applying discretion and judgement as directed by principals supported.
6.

Maintains current, accurate files to facilitate easy retrieval of items as needed; follows TDW's Record Management System for records to be transferred to storage or destroyed.
7.

Completes special projects as assigned by the principals supported, ensuring schedules and project parameters are met.
8.

Assists with budget preparation as requested.

Codes invoices to appropriate account and submits to Accounts Payable in a timely manner.

When directed, gathers information for monthly, quarterly, and annual business review activities.

KNOWLEDGE, SKILLS & ABILITIES REQUIRED:

1.

High school education; some business school or college would be desirable.
2.

Minimum five years' secretarial experience; typing 75 wpm.
3.

Excellent grammatical, punctuation, spelling, and proofreading skills.
4.

Proficient in the use of personal computers, with Microsoft Word, PowerPoint, Excel and Outlook proficiency at the Intermediate level.

Must be able to prepare PowerPoint presentations at an advanced level.
5.

Excellent organizational skills and ability to prioritize work assignments and projects.

Position requires a self-starter with strong initiative.
6.

Strong communication skills (effective listening, reading, and writing).
