Program Manager (Intake)

Schedule: Monday - Friday; 8:00 am - 4:30 pm
Location: Rogers Park
The Program Manager will oversee the Intake Department, including the Intake team and Care Coordination team.
They will provide direct supervision of team members and manage employee workflow, ensuring that individuals applying for services are properly screened and/or referred out as necessary.
The Intake Department will triage clients applying for services and transition clients with higher acuity and needs to the Linkage team.
The Program Manager will market Trilogy programs to hospitals and other organizations.
They will serve as the main liaison with IHPA and ensure all measures are being met.
The Program Manager will report on capacity, service needs, and trends to leadership.
They will ensure that the team provides strengths-based, client-centered, and trauma-informed assessments and services to clients with severe mental illness and co-occurring substance use disorders.
Responsibilities
* Oversee open access processes and coordinate with open access providers across multiple programs and departments.
* Oversee the expansion of open access locations across the organization's service areas to ensure ease of access for all potential clients.
* Return intake phone calls and email inquiries.
Communicate expectations regarding the intake process, eligibility for services, and educate callers about mental illness and agency services.
* Manage linkage services to meet client and community needs at the point of intake (e.g., expansion of case management services to other site locations, seek new funding opportunities to support community behavioral health needs, etc.).
* Track agency capacity and assist in ensuring new referrals are connected with the appropriate level of care.
* Manage communication regarding program capacity within the organization, and alert the Director to issues of excess capacity or programs operating above recommended capacity.
* Develop and implement systems to increase departmental efficiency, such as reducing intake wait times and smoothing the transition of individuals from Intake to clinical teams.
* Train new employees to provide quality services to clients, including facilitating New Staff Orientation and supporting employee onboarding.
* Ensure continued education and training for assigned clinical and administrative employees to strengthen the services provided.
* Monitor and adjust employee schedules to ensure sufficient clinical time is scheduled to meet productivity requirements.
* Ensure employees review and understand organizational policies and procedures, duties, projects, and departmental priorities.
* Oversee state and grant contracts and develop systems to ensure appropriate utilization of funds.
