Administrative Assistant in the Center for Student Success

Job Description Summary: The School of Business at Stevens Institute of Technology invites applications for a Administrative Assistant (AA) in the Center for Student Success (CSS).  The position is available immediately and applications will be accepted until the position is filled.

Key Job Responsibilities and Duties: The Administrative Assistant (AA) will report to the Assistant Dean of Center for Student Success and will support the staff.

The AA will manage and distribute information within the office and will be an integral part of the CSS operations. 

Job responsibilities include, but are not limited to:

Administrative tasks:


* Host drop-in Zoom hours and document student information and needs.


* Track in-person and virtual student visits with SEM system.


* Welcome students and guests to CCS on-campus, assess their needs and move them forward for proper guidance and assistance.


* Understand basic policies and procedures of CSS to ensure that student needs are properly addressed.


* Forward and follow-up on any Institute forms that require faculty or academic advisor signatures.


* Help the Director and Center staff with various reports and projects.


* Maintain the CSS calendar of events for the academic year.

Communication:


* Routinely send out communication to School of Business students, staff, and faculty once reviewed by Director.


* Assist with Institute procedures by working with various departments at Stevens (Registrar, Graduate Academics, Undergraduate Academics, etc.).


* Manage CSS Instagram, updating followers on important dates and events.

Office Management


* Oversee ordering and maintenance of office supplies via Kuali Financial Services and Concur.

Event Organization and Management


* Assist with the organization and implementation of student events.


* Maintain record of attendance at student events.

  

Student Documentation Maintenance 


* Upload and upkeep Institute forms on Workday, and other systems.


* Forward and follow-up on form approvals as needed.

Job Qualifications: 


* Candidate must hold a Bachelor’s Degree.


* Demonstrate excellent verbal and written communication skills, reporting skills, organization, time management, and experience in organizing meeting logistics. 


* Ability to self-organize, multi-task, and handle multiple projects simultaneously.


* Ability to prioritize among multiple stakeholders and concurrent requests.


* Knowledge of MS Word, Excel and PowerPoint required.


* Experience in an academic environment is a plus.

Working Conditions:


* Traditional office environment (in-person) on the Hoboken, New Jersey campus.


* The position requires flexibility in working hours according to workload.


* Occasionally need to move between academic buildings on campus.
