Account Coordinator (Entry Level)

Summary of Position: The Account Coordinator generally provides assistance to the account director in the day-to-day management of accounts and develops the skills necessary to advance to the position of account executive. 

Duties and Responsibilities:


* Provides administrative assistance to account executives, account supervisors, or account directors on day-to-day client activities, including responding to coordinating projects, preparing timeline requests and working with traffic manager to solidify project timeline, drafting project briefs and tracking deadlines, media placements, etc., to ensure continued progress of client workflow in the absence of the assigned account executive.


* Review billing schedule, approve invoices, manage financial projections or any other financial tasks with which the senior account team needs assistance.


* Stays aware of client activities to provide backup when account executives are unavailable, alerting account executives’ attention to potential problems before they occur.


* Gathers and assembles background information and analyses as needed by account director in development of briefs, etc.


* Provides input in planning stages as requested by senior account team.

Assists in mailings, processing final copy, agendas, conference reports, proposals, correspondence and other materials related to account service and preparing the above for client presentations.


* Handles paperwork and maintains digital and hard copy files on all client activities, their competitors and their industries; maintains client correspondence file, approvals, copy, forms/documents, supplies for daily processing and tracking of account service work, etc.


* Maintains client reference notebooks and/or digital archives for all assigned accounts, detailing past work and work-in-progress, and all pertinent information needed for accurate proofreading and meeting of client standards.


* Coordinate and schedule meetings with clients, to include technical set up for online or in-person meetings; takes minutes at meetings, prepares and distributes contact reports (call reports), etc.; responsible for documenting change internal and external change orders via Monday.com project management software.
