Employee Health Services Coordinator

Works under the direct supervision of the Employee Health Services Director.

Performs administrative duties and provides support to the department personnel as directed.

Establishes and maintains calendar of events for the department as directed.

Maintains office records and orders supplies, new equipment and follow-up maintenance.

Performs data entry functions; gathers data and prepares reports and presentations for committee meetings.



* Provides assistance to the Employee Health Services staff such as receiving, screening, referring and answering requests for information, setting appointments, preparing presentations and arranging for travel and meetings.


* Performs administrative duties such as preparing records, department files and reports, answering correspondence, assists in maintaining department manuals, collecting and distributing mail to all personnel.


* Ensures proper use of EMR system, runs internal audits, troubleshoots issues and addresses with departmental staff.


* Initiates incidents within EMR, sends correspondence based on notifications.

Creates and adjusts correspondence notifications in compliance with current policy and procedure.


* Maintains and updates Employee Health StarNet page.


* Performs high level administrative support duties by overseeing office activities, generating reports and providing data analysis.


* Prepares and maintains active, inactive and new employee files by ensuring that required documentation is initiated or filed; prepares new employee health file.

Ensures system is updated with accordance to employment status.


* Assists nurses with maintaining efficient patient flow in the department.


* Coordinates the scheduling of new hire applicants for in-processing.


* Processes requests for payments for Workers' Compensation.


* Processes monthly Annual Health Assessment Notices/Reminders and monitors employee compliance of such, reporting non-compliance to Department Director/Supervisor and Nurse Staffing, if appropriate.


* Updates and maintains Employee Health Services forms, correspondence, and EMR system.

Attends meetings and is responsible for meeting minutes as designated by Employee Health Leadership, including but not limited to staff meetings, Safe Patient Handling Committee and Workplace Violence Prevention Committee.


* Serves as the department resource/IT person for all computer hardware and software issues, including assisting with selection and implementation of the electronic filing system.


* Maintains confidentiality of all sensitive materials, files, and departmental activities.


* Assumes responsibility and accountability for time management, professional relationships and interpersonal communication.
