Executive Administrative Assistant

As an Executive Administrative Assistant in our dynamic organization, you will bring structure and a quality focus to your role in our fast-paced environment.

Your daily routine will involve representing senior leaders with professional courtesy, delivering flawless work output, and interacting with executive level internal clients across various business lines.

You will also adapt procedures, processes, and techniques to align with the department's activities and goals.

Job Responsibilities
• Act as a Gatekeeper of all contact with the public, clients and staff coming through the executive's office
• Support the office to include phone coverage, printing, etc.
• Manage extensive and complex calendar for Senior Executive in a fast paced and dynamic environment
• Work closely with Business Manager on maintaining key documents including organizational charts and background materials.

Able to take succinct minutes and replay key takeaway and themes from senior meetings.
• Coordinate and organize senior meetings, draft communications and presentations including agenda setting, material preparation and distribution, coordination of guest speakers, and logistics.
• Provide site support for local office requirements including phone coverage, assistance with new hire integration, facilities maintenance, supplies, floor access, presence at local events, greeting clients and guests and escorting them throughout the location, food orders/set up and takedown of conference rooms, ensuring superior client service at all times
• Arrange and maintain extensive travel plans and itineraries for both international and domestic travel
• Plan and lead events as needed

Required Qualifications, Capabilities and Skills
• Advanced calendar management skills
• Strong PC skills (proficient knowledge of MS Outlook, Word, Excel, and PowerPoint)
• Superior oral and written communication skills
• Excellent telephone etiquette and ability to manage competing priorities
• Advanced ability to organize
• Tact and good judgment in confidential situations and proven experience interacting with senior management
• 5+ of administrative experience of administrative experience ideally supporting at the Managing Director level (or equivalen
