LABORATORY – OFFICE COORDINATOR
I.
BASIC FUNCTION
a.
The primary function is to support day-to-day operations of an industrial chemical quality control and environmental testing laboratory. The laboratory is owned by and is adjacent to Canal Terminal Company (CTC). The coordination of efforts with the terminal is a primary function.
II.
RESPONSIBILITIES
a.
Receptionist for the laboratory: answer phones, record and communicate messages from and for customers, vendors, and coworkers. Monitor and act upon emails from coworkers, customers and vendors.
b.
Retrieve and distribute postal mail as needed.
c.
Maintain and order office and breakroom supplies, as needed. Order laboratory supplies as specified by laboratory personnel. Code purchased items for accounting.
d.
Receive supplies, including chemicals requiring filing of SDS and/or COA documentation.
e.
Perform annual chemical inventory, with assistance from the Chemists.
f.
Receive and log in environmental samples brought to the lab by customers and by the Sampling Technician. Perform and document sample temperature measurements, verify that all sample documentation and sample labeling are complete and accurate. Follow up on omissions and/or corrections as needed.
g.
Organize and prepare sample bottles with proper labels and preservatives.
h.
Keep customer documentation current regarding contacts, sampling requirements, and testing requirements.
i.
Communicate sampling schedules and requirements to the Sampling Technician (for environmental samples) and to the terminal operators (for CTC samples) and follow up to verify completion. Communicate schedule changes to accommodate holidays.
j.
Package and prepare for shipping samples to be delivered to CTC customers and external laboratories.
Record test results from external laboratories.
k.
Perform and document regular safety equipment inspections, e.g.
fire extinguishers, emergency lights, laboratory exhaust hood flow rates, etc. Coordinate with safety inspection contractors when necessary. Maintain supplies in the first aid cabinets.

Assist with washing of laboratory glassware as needed and available.
m.
Communicate relevant information to and from other departments in the company. Attend weekly meetings with office staff from other departments.

Service Staff Support
* Provides technical information and support when requested by outside PSSR's, Product Support Manager, Service Operations Manager, Technical Services, Rental and Sales Department and assists with review of projects at customer sites when needed.
* Due to the highly technical side of this position and the complexity of projects that may be included, Safety is of the upmost importance in the field.
All projects will be evaluated upfront for safe conditions, and work environment
* Handles inquiries and questions regarding projects when requested by customer, dispatchers, Product Support Representatives, project coordinator and technicians as needed.
* Attend meetings as required for all upcoming project or to discuss status of progress on projects with the Sales and Product Support team and/or Service team for opportunities with the appropriate personnel.
* Assist Autonomy Manager in the development of new service offerings and accesses new business opportunities to expand our Construction, Mining, and Quarry & Aggregate business segments.
* Due to the technical complexity of this position, this position would be expected to assist in specific training in the Construction Division within Service, Sales and Rental Departments.
This may include new processes, hands on training on products, systems and service offerings with the PSSR's and technician support.
* Assist service department with technical and logistical issues on non-project repairs; research materials and solutions to replace/repair obsolete Cat and non-Cat componentry
