International Diagnostic Scheduler - Veterans Evaluation Services

Maximus is currently hiring for an International Diagnostic Scheduler to join our Veterans Evaluation Services (VES) team.
This is a remote opportunity.
The International Diagnostic Scheduler is responsible for scheduling Compensation and Pension ("C&P") medical exams for veterans and service members with trained VES providers, maintain close communication and build rapport with providers to capture exam availability, while building a relationship of trust and confidence.
Additionally, they'll speak with veterans when needed to confirm early notice appointments, assist veterans and/or providers with any questions they may have, and share all provider information with Provider Recruiting and Credentialing ("PRC") Department in order to find solutions for difficult geographic areas.
Essential Duties and Responsibilities:
- Conduct thorough searches for veteran cases within assigned regions using the OMS platform.
- Communicate with facilities via phone or email to ascertain availability for diagnostic testing.
- Schedule diagnostic appointments for veterans in accordance with facility availability, veteran preferences, and VA contractual guidelines.
- Prioritize scheduling tasks based on VA and VES standards and expectations.
- Inform veterans promptly if there are changes to scheduled appointments.
- Process rescheduling requests while adhering to both internal protocols and VA regulations.
- Monitor and manage cases on a daily basis.
- Handle last-minute scheduling requests from the Quality Assurance department as needed.
- Keep accurate notes via Case comments, noting any delays, scheduling game plans, any communication with recruiters, other internal departments, veterans, providers or facilities.
- Upload DX results and update case files accordingly.
- Communicate with QCA team if veteran no showed or if Diagnostic results are available.
- Send DX work orders and Appointment notifications to veterans/service members
- Ensure that facilities are accurately identified on test materials, including Points of Contact and available testing options.
- Serve as a primary point of contact for facilities to ensure veterans receive timely service in compliance with VES guidelines.
- Review and validate invoices received, ensuring CPT codes align correctly, and forward to the billing department.
- Communicate any changes in testing requirements or pricing discrepancies to recruiting staff.
- Communicate with leadership when needed.
- Report on current events if it has the potential to affect scheduling, or examinations already scheduled.
- Participate in meetings addressing challenges in geographic areas within the assigned region and updates from leadership.
- Aid other diagnostic schedulers when case volume in the assigned region decreases.
- Respond to emails in a timely manner on a daily basis.
- Maintain and update Calendar reflecting known holidays in AOR.
