As the Executive Administrator of the Legal Department, the successful candidate will be responsible for timely coordination and handling of all administrative functions of the Department including, but not limited to:

* Create, format, edit, proof and finalize letters, emails, reports, forms and presentations with attention to detail using Microsoft Office, Excel, Word (including Mail Merge) and PowerPoint consistent with Michael Baker International's standards

* Process and file incoming and outgoing correspondence (including email)

* Oversight of legal shared sites and the granting/removing of permissions to such sites as requested/needed

* Manage and maintain corporate records and minutes

* Assist with the management and maintenance of business/professional licenses and yearly renewals

* Manage legal expense reporting, file management, and assist in compiling and maintaining litigation reports

* Manage and coordinate (with the Finance Department) the timely processing of invoices from outside counsel, Legal Department vendors and insurance brokers

* Drafting of legal records or documents under the direction of a lawyer

* Attendance at meetings and drafting of associated meeting minutes

* Field and prioritize inbound communications via telephone, mail, and email to resolve critical issues in a timely manner

* Take initiative, use good judgment, adhere to deadlines and carry multiple projects through to completion with the ability to work independently under general direction
