Human Resources Specialist

Job Summary:
Serve in a Human Resources support role assisting all areas of HR
 
Essential Duties and Responsibilities:


* New Hire Orientation and Onboarding
+ Send Welcome Email to new hires
+ Process New Hire Paperwork and send to Hearst
+ Create Personnel Files
+ Send Instructions for SSO access information
+ Send Instructions for My Hearst: My Info log-in
+ Initiate AMEX issuance depending on role 
+ Ensure I-9 Compliance – maintain records


* Education and Development
+ Support Learning Initiative Event – “Learning Olympics”
+ Creating videos
+ Creating course catalogue
+ Scheduling conference rooms
+ Monitoring bookings
+ Setting up remote access for sessions
+ Producing training material


* SYNC (New Hire Training)
+ Prepare SYNC training materials
+ Set-Up Training Room
+ Facilitate completion of day-one new hire paperwork, explanation of employee handbook, lead tour of office for new hires


* Support Develop U training initiatives


* Payroll
+ Complete all Verification of Employment Requests
+ Create and distribute monthly reports (Birthdays, Anniversaries, Basic Employee Data report, Ad Hoc reports requested by managers)
+ Create reports requested for Audits
+ Provide back-up support for bi-weekly payroll processing


* Benefits
+ Assist in the administration and enrollment of employee benefits
+ Add new hires to Benefit enrollment system
+ Monitor new hires enroll in benefits
+ Facilitate enrollment between benefit enrollment system, Brinson Benefits, Carriers and Hearst system
+ Process in-year qualified status changes
+ Audit benefit deductions between payroll and carriers; annual enrollment and monthly reconcilement


* Miscellaneous
+ Maintain and organize all employee personnel files and terminated employee files and ensure compliance
+ Support HR audits and ensure all requirements are maintained
+ Collect and track receipt of Annual Performance Reviews
+ Collect and track receipt of signed Policy Updates - Ongoing
+ Maintain Company Organizational Charts - Monthly
+ Coordinate Lunch with a Leader for Executives - Monthly
+ Amex Card Administration – Coordinate with Hearst - Ongoing
+ Update All-Star Awards in Share Point - Monthly
+ Send out All-Star Award Nominations to employees nominated - Monthly
+ Own and Maintain HCHB Distribution Lists (7th Floor, 8th Floor, 7th/8th Floor, HCHB Contractors, IT Dallas) – Ongoing
+ Maintain documented HR processes and operating procedures
+ Provide back up support to Dallas Office Manager - Ongoing
