Staff Accountant

Position Summary
The Staff Accountant will be responsible for the process and maintenance of LACI’s accounts receivable, accounts payable and payroll functions, in accordance with requirements applicable to 501(c)(3) organizations.

This role will assist the Finance & Accounting Manager with billing support as well as month end closing and reconciliations, report creation and ad hoc research and analysis.

Reporting Relationships
This position reports to the Finance & Accounting Manager.

Responsibilities


* Accounts Receivable


* Prepare contract invoices; gather vendor/contractor invoices and other supporting documents, maintain labor allocations and tracking sheets, and prepare invoices and reports using funder templates


* Prepare and ensure accurate and timely submissions of standard billings and invoicing


* Follow-up with customers and program leads on outstanding AR


* Prepare bank deposits and maintain supporting documentation


* Prepare and present A/R aging reports to program managers


* Lead collections efforts with customers


* Accounts Payable


* Review invoices and ensure proper coding in accordance with program and contract budgets


* Prepare open A/P summary reports


* Process check runs from multiple bank accounts


* Ensure documentation is maintained for contract billing


* Payroll/Timekeeping


* Monitor employee timekeeping and follow up with employees on incomplete timekeeping


* Process bi-weekly payroll


* Generate monthly labor distribution reports from timekeeping and payroll system(s), prepare and process journal entry import sheets


* General


* Track and manage fixed assets with various departments including IT, facilities, and prototyping lab


* Support month end closing process


* Perform account reconciliations


* Support preparation of financial reports tailored to recipients ranging from the Board of Directors to Executives to Program leads


* Assist in creating, documenting, and upholding department policies and procedures


* Create and manage excel and gsheets for financial tracking and reporting


* Assist with financial audit preparation


* Other tasks as defined from time to time

Qualifications


* Bachelor’s degree in Accounting, Finance or other related field and 2+ years recent experience working in an accounting department


* Not-for-profit accounting experience strongly preferred


* Experience using QuickBooks Online or similar accounting software including job costing


* Strong proficiency in MS Excel and Google Sheets; developing spreadsheets and formula writing


* Experience processing payroll using ADP or similar platform


* Excellent organization and time management skills


* Detail oriented self-starter with the ability to work effectively with limited supervision and within a team
